Exhibit at the 2018 TxSGS Family History Conference, November 2-4, at the Omni San Antonio at the Colonnade in San Antonio, Texas.

The exhibit hall will be located in the 4,000 square foot LaJoya room at the Omni San Antonio at the Colonnade.

Booth assignments will be made on a first-come, first-served basis upon receipt of the signed agreement and full payment. Exhibitors are encouraged to reserve their booths early, especially those hoping to have multiple adjoining booths.

Booths registered in multiple company names will be treated as separate booth orders.

** All tables and associated 8’x8′ spaces may be reserved singly or in groups. Larger spaces may be reserved by sponsors at the Gold level or higher. Vendors are not permitted to bring in their own table(s).

Note: Booth electricity is arranged through the hotel; Internet connections may be requested through TxSGS on the Exhibitor Registration form for an additional fee.  Please contact Exhibit Chair for required forms at klm4343@txsgs.org or download them here.

PAY FOR EXHIBITOR SPACE ONLINE

Each booth will include:
•  (1) 8′ draped table and (2) chairs
•  (1) exhibitor ID sign

Each exhibitor will also receive:

  • As many exhibitor badges as needed (for entry to the hall during set-up, tear-down, and morning hours prior to opening to the public); names must be provided to TxSGS by Wednesday, October 24.
  • A profile on the TxSGS conference website, which includes contact information, link to website, description, and more. Information may be submitted to communications@txsgs.org and must be received by September 1 to be included.
  • A listing in the Conference Syllabus.

Exhibitor-Only Hours

  • Set-up: Thursday, November 1, 2018:  1:00 p.m. – 8:00 p.m.
  • Tear Down: Sunday, November 4, 2018:  3:00 p.m. – 8:00 p.m.

Exhibit Hall Open for Business

  • Friday, November 2, 2018:  9:00 a.m. – 5:00 p.m.
  • Friday, November 2, 2018:  Welcome Reception 5:00 p.m. – 7:00 p.m.
  • Saturday, November 2, 2018:  9:00 a.m. – 5:00 p.m.
  • Sunday, November 4, 2018:  9:00 a.m. – 3:00 p.m.

To provide conference attendees time to visit the Exhibit Hall, the conference schedule includes 30-minute breaks between lectures and a 2-hour lunch break. In addition, the Exhibit Hall opens 30 minutes prior to conference lectures.

The Exhibit Hall will be locked at night. If emergency access is required, ask the front desk to contact a member of the Conference Committee. TxSGS is not responsible for loss due to damage or theft.

Available Extras: All registered exhibitors will receive a booth confirmation email from the Exhibits Chair with a link to additional resources offered by the hotel and AV vendor. This is an opportunity to arrange for special booth items not included in the booth package, including electricity. Door Prizes: Exhibitors are encouraged to offer door prizes at their booth. Door prize winner names should be given to staff at the TxSGS booth daily by 4:30 p.m. Friday and Saturday and by 1:00 p.m. Sunday. Winners will be posted on the bulletin board located in or near the TxSGS booth.

Lecture & Lunch Breaks: Thirty-minute breaks are scheduled between lectures, so attendees may visit the exhibit hall. There is a two hour lunch break which should also provide exhibit hall time. (See more about lunch options)

TxSGS Website: All exhibitors will be listed on the TxSGS conference website with contact information and a short description (50-word limit) of services or products offered. Information must be provided to communications@txsgs.org by September 1 or within one week of signing contract if later than September 1 to be included on the website.

Hotel and Conference Registration plus Banquet Tickets – Any exhibitor/vendor volunteers or staff wishing to attend conference lectures MUST purchase a conference registration. For those wishing to attend our banquet on Saturday evening, banquet tickets may be purchased online by October 12.  Information about hotel reservations is available online. Cancellation: Exhibitor cancellations must be mailed to the address below or sent by email to klm4343@yahoo.com. Cancellation requests postmarked on or before October 6 will receive a refund less 20% of the total purchase price. Requests postmarked October 7 – October 27 will receive a refund less 50% of the total purchase. No refunds will be issued after October 27.
